The YMCA of Greater New York Association Office is seeking an Administrative Project Manager who will be responsible for working with the corporate Properties department and Y branch staff to provide critical administrative support towards the successful completion of capital projects of all sizes at Y branches throughout the five boroughs. This position will report directly to the VP of Properties, as well as work closely with Project Directors, Y branch staff, and vendors regularly by coordinating deliverables, communicating effectively, and providing financial management.

Qualifications
  • High school diploma or equivalent required; bachelor's degree preferred.
  • Minimum of one (1) to three (3) years of experience providing administrative support, with specific experience in supporting financial operations, within a similar setting.
  • Knowledge of maintenance planning and schedules.
  • Proficiency in Microsoft Office software, such as Word, Excel, and Outlook Express.
  • Knowledge of additional computer programs a plus but NOT required: Microsoft project, AutoCAD, Photoshop, and Blue Beam.
  • Sound judgement and the ability to think quickly during emergencies.
  • Ability and willingness to travel occasionally within the five boroughs.
Essential Functions
  • Support AO Properties team with managing capital construction projects and maintenance repairs by assisting with project start-up, schedule coordination, budget planning and monitoring, extensive record-keeping, consistent communication, and project close out. Projects may involve renovations within branch interior spaces, mechanical system upgrades, electrical, plumbing, sprinkler, and other HVAC work.
  • Be responsible for overall departmental administration to the corporate property team by helping to standardize and maintain master tracking documents for items and activities including, but not limited to, purchase order requests, invoices processing, violations tracking, and project schedules.
  • Provide administrative support to VP and corporate Properties department as needed by preparing correspondence, expense forms, personnel data, check requests, purchase orders, invoice processing, and other paperwork or data. Help prepare meeting agenda and draft minutes.
  • Assist VP of Properties with receiving, dispatching, and documenting of emergency-related issues.
  • Work with Y staff to manage vendor relationships, including administrative on boarding of new vendors and updating the approved vendor list. Work with Y finance team to coordinate qualifying and onboarding new vendors.
  • Work with Y branches and Property Department to ensure compliance with NYC agency health and safety regulations, assist with clearing existing violations and tracking building certifications.
